As part of the booking process, you will indicate your acceptance of the terms and conditions. This protects us both and means that there will be no surprises along the way. If you have any questions about the terms and conditions then please do ask me. I place a high value on clarity and integrity, and I want you to be 100% informed and happy with everything.

About the Privacy Policy
Any information you give me is held securely and I am fully compliant with the requirements laid down by law in the Data Protection Act (DPA) 1998, The Privacy and Electronic Communications (EC Directive) Regulations (PECR) 2003 and the new General Data Protection Regulation (GDPR) 2018.

About Copyright
Copyright is a legal right that protects the creator of an original work by giving them exclusive rights for its use and distribution. Basically, it stops other people using it without permission. In photography, copyright always remains with the photographer so when you buy digital/printed copies of your pictures, you are not buying the copyright as well - that remains with AHP Photo Ltd.

I give you the rights to reproduction and distribution and I reserve the rights to adaptation and attribution. This means you are free to print and share the pictures as much as you like as long as you don't edit them and as long as you attribute them to me, including when you share them on social media. It's easy to add attribution to a photo - simply tag me as the author in the image post. Thank you :)

About Insurance
Most venues require that any photographer working there has Public Liability Insurance (PLI). This provides protection for the venue in the unlikely event of photographers or photography equipment causing damage to others. If you are asked about this by your venue, you can assure them that I have public liability cover to a value of £2 million.

Equipment Backup
I am a top-level member of CPS (Canon Professional Services), a club run by Canon exclusively for professional photographers. This guarantees a 2 day turnaround of equipment repair and provides loan equipment for the duration, so I will never be without the equipment I need.

On the wedding day itself I always take a set of backup equipment so, in any event of camera failure, I can switch to another straight away. All my cameras carry two storage cards and every picture is duplicated. If one of the cards fails before the images are transferred to my computer, I have another with the full set of images. I take great care to make sure that your precious pictures are super safe.

Terms and Conditions

These terms and conditions explain your rights and responsibilities and also those of AHP Photo Ltd. “You” means the couple named as Bride and Groom on the booking form and “AHP” means AHP Photo Ltd. “Wedding” shall, if required, also refer to a civil partnership ceremony.
No variation to these terms and conditions shall apply unless agreed in writing and signed by both parties.
1. Service Agreement
AHP agrees to supply to you wedding photography services in accordance with the package and options indicated on the booking form.
2. Payment Schedule
The deposit is payable by you at the time of booking. This will be set against the total fees payable by you.
The balance of the package fee must be paid no less than 30 days prior to the date of the wedding. If the balance is not paid by that date, AHP reserves the right to treat the contract as being cancelled by you, in which case the deposit will not be refunded and no further services will be performed.
3. Exclusive Photographer
AHP is appointed by you as the exclusive professional photographer for the wedding. Amateur photography by guests is permitted but you are responsible for ensuring that this does not interfere or conflict with the services AHP has agreed to provide.
4. Coverage
Whilst AHP will make every reasonable effort to take requested photographs, you understand that a wedding is an uncontrolled event and AHP cannot guarantee that any particular requested photograph will be taken.
AHP will not be held responsible for lack of coverage due to varieties of the weather, available light, scheduling changes or delays, punctuality of the wedding party, and the cooperation or availability of any subjects including guests when called upon.
Photographs will be taken against the available backgrounds. Please note that AHP cannot be expected to move objects or perform other cosmetic duties on location.
5. Final Images
AHP reserves the right to edit the original images and be the final authority on the choice of images that are delivered to you as the final set.
AHP will make your images available to you as soon as is reasonably practical after the wedding but cannot guarantee precise timings.
Any prints and products must be ordered by you and your guests within 12 months of the wedding. AHP cannot guarantee being able to fulfill an order after this time. Any order which is fulfilled after this time at AHP’s discretion will be subject to the price list in effect at the time of ordering.
6. Image File Ownership
All digital media relating to images taken at the event remain the property of AHP.
7. Copyright
The copyright of all images created at the event, whether stored digitally or otherwise, remains the property of AHP.
8. Usage Rights
You are obtaining photographs for personal use only and shall not sell copies for commercial use. You are granted unlimited reproduction rights of all final images except for commercial use.
9. Distribution Rights
You are granted the right to distribute the final images except for commercial use. The final images must not be adapted or modified in any way.
AHP reserves the right to be identified as the creator of all final images and requires that attribution be included with all public distribution.
10. Model Release
You grant AHP permission to use the images for display, advertising, portfolio, professional competition and review, or any self-promotion including wedding fairs and the AHP website.
11. Cancellation
You may cancel the contract at any time by notice in writing. The deposit is not refundable.
If the date of the wedding is postponed, AHP may at their sole discretion agree not to treat the contract as being cancelled but to provide the services on the new date and transfer all payments made to the fees for that day.
In the unlikely event that the AHP photographer is unable to attend for reasons beyond their control, such as death, injury or illness, every attempt will be made to arrange a suitable replacement. If this is not possible or you choose not to accept the offered alternative, then the contract will be considered cancelled and all payments made will be returned to you.
AHP takes the utmost care with respect to the transportation, storage and back up of images. However, in the unlikely event that photographs are lost, stolen, or destroyed for reasons within or beyond AHP’s control, the contract will be considered cancelled and all payments made will be returned to you.
12. Limit of Liability
AHP will exercise the reasonable skill, care and judgement that you would expect of a professional photographer but shall not be liable for events beyond their reasonable control nor for loss, which is indirect or consequential. Under no circumstances will AHP’s liability to you, whether for breach of contract, negligence, breach of statutory duty or otherwise exceed the total amount that you have paid under this contract. If you wish to have additional cover you should consider taking out a wedding insurance policy.
You agree to be responsible for any injury, loss or damage caused by your guests to the people or equipment provided by AHP.

Privacy Policy

This privacy policy sets out how AHP Photo Limited (AHP) uses and protects any personal information that you give to AHP.

AHP is committed to ensuring that your privacy is protected and any information you give me is held securely. You can be assured that I will only use any data you give me in accordance with this privacy statement and with the requirements laid down by law in the Data Protection Act (DPA) 1998, The Privacy and Electronic Communications (EC Directive) Regulations (PECR) 2003 and the new General Data Protection Regulation (GDPR) 2018.

What data do I hold?
The data I hold may come from any of the following: website signup forms, wedding fair contact forms, online or paper booking forms, wedding detail forms, phone/email enquiries, surveys, feedback requests, and offers provided by me. I do not acquire customer data from third parties.
Where do I hold your data?
Your given data is stored electronically on my servers and in paper form in a locked area.

I also use the following third-party systems:
  • Tave – I use this online business management system to store details of customers and leads
  • MadMimi – I use this online email marketing system to send emails to customers and leads
  • PixieSet – I use this online photo gallery system to provide customers with a web gallery of images (if agreed). It does not contain any personal data other than the name of the couple, the wedding date and the images themselves
What do I do with your data?
I use your given data for the following reasons:
  • Internal record-keeping and to administer any service you have booked with me, including follow up activities.
  • From time to time I may send newsletters, promotional emails about new products, special offers or other information which I think you may find interesting, using the email address you have provided and given me consent to use.
How long do I keep your data?
I will only retain your given data for the minimum time that is necessary. For some purposes such as our business accounting obligations, this length of time will be determined by legislation.
How can you control your data?
The following rights mean you can choose to control the collection or use of your personal information at any time:
  • Right to withdraw consent, data retention and the right to be forgotten - If you have previously agreed to me using your personal information for direct-marketing purposes but would like to withdraw that consent, or would like me to delete all data I hold about you, you can request this by emailing me on alan@alanharbord.co.uk. I will comply with your request within one month of receiving it. Please note, there may be certain circumstances such as a legal obligation I may have, that mean the right to be forgotten cannot be implemented but I will inform you of this should you contact me on this basis.
  • Right of access to your data - You may request details of the personal information which I hold about you by emailing me on alan@alanharbord.co.uk. This is free but in the case of excessive/repetitive requests I reserve the right to charge a small administration fee of £10 + VAT.
  • Right to rectification of inaccurate data - If you believe that any information I am holding on you is incorrect or incomplete, please email me on alan@alanharbord.co.uk. I will promptly rectify any information found to be incorrect.
I will not sell, distribute or lease your personal information to third parties unless I have your permission or are required by law to do so.
